How to run a live golf event using GCMS — from setup to live scoring, spectator viewing, and final results.

Event Day at a Glance

GCMS handles the full lifecycle of any golf event — from a club twilight comp to a national championship. The system connects event administrators, players on-course via CaddieChat, and spectators through the live viewer.

Whether it is a regular club day competition or a national tournament, the setup process is the same. The event administrator creates the event in GCMS and opens it for registration.

Step 1

Create the Event

From the GCMS Events page, create a new event — set the name, date, venue, format (Strokeplay, Stableford, Match Play, etc.), entry fee, max participants, and any on-the-day rules. National events are created at the platform level; club events are created at the club level.

Step 2

Open Registration

Set the event status to 'Registration Open'. Players can now register directly through CaddieChat (mobile or web), or the admin can manually register players through GCMS. Each registration captures player name, email, NZ Golf ID (optional), and handicap.

Step 3

Close Registration & Create Groups

When registration closes (automatically at the cutoff date or manually), the admin creates playing groups. GCMS can auto-generate groups based on handicap or allow manual arrangement. Groups define the tee-off order and playing partners for the day.

Step 4

Go Live

On event day, the admin sets the status to 'Event Live'. This activates live scoring in CaddieChat and opens the public scoreboard for spectators. The event is now running.

Club Day Events: For regular club competitions (e.g., Saturday Stableford, Wednesday Twilight), the process is identical but streamlined — create the event, let members register, group them up, and go live. GCMS treats every competition the same way, whether it is 8 players on a Wednesday afternoon or 120 players in a national championship.
